Viewing stock
Stock shows each product's quantity in the shop and the alerts: negative stock or stock below the reorder level. Stock never prevents a sale.
Receiving a delivery
Tap the product › Goods received: quantity received, unit cost (optional), supplier, note. For a delivery linked to a purchase order, use Purchasing instead.
Correcting stock
Tap the product › Adjustment:
- Stock count (correction after counting): add or remove to match the count.
- Waste (expired, unsellable) and Breakage: take items out of stock.
Every movement is kept in the product's history.
Batches and expiry dates
For a product tracked by batch, each delivery asks for a batch no. (and an optional expiry date). Sales take the batch that expires first first. The batch list flags those that have expired, expire soon or are recalled. A recalled batch can no longer be sold; searching by batch finds the receipts concerned so you can warn customers.
Ordering in time
With a minimum, a maximum and a usual supplier per product, the till suggests a To reorder list by supplier (CSV export).
Transferring stock to another shop
Transfers › New transfer (manager): destination shop, a specific till or all tills in the shop, products and quantities. Send takes the stock out straight away, at average cost, even without internet; the transfer note (TR-…) goes to the cloud as soon as there is a connection and stays in transit until it is received. A draft can be cancelled, a sent transfer cannot.
On arrival, the destination till opens the transfer › Receive and counts what arrived: good condition, damaged (does not go into stock), missing or extra. Any difference needs a reason and shows up for the owner, who closes the transfer. If only part has arrived, tick The rest will arrive later: the rest stays in transit and is received afterwards (Receive the rest). Damaged goods are a loss for this shop, at the transfer cost: they appear in the daily report. A transfer addressed to the whole shop is received by one till only: an internet connection is needed. If that till gets stuck (breakdown, lost till), the owner can release the receiving from their dashboard; another till then takes it over.
Requesting stock from another shop
Transfers › Request stock (manager): the shop to ask, the products and quantities, a note. The request (DT-…) can be made without internet and goes out with the next sync. The shop asked sees it in Transfer requests (“To handle”): Prepare transfer opens a transfer already filled in with the requested products, to your shop (they adjust the quantities to what they can send), or Refuse with a reason. When the transfer is sent, the request becomes Fulfilled and shows the transfer number; you receive it as usual. While it is pending, you can Cancel request. Nothing moves in stock before the transfer is sent.
Labels
From the Catalogue › Labels: shelf labels (price) or barcode labels, on an A4 sheet or on the receipt printer.
Importing from Excel
Catalogue › Import and Data migration (customers, suppliers, opening stock, past sales) read a CSV or Excel (.xlsx) file. In Excel, the first sheet is read, and its first row gives the column names. Nothing is saved before the preview and your confirmation; the row numbers of errors are those of the sheet.
- Format the barcode and phone columns as Text in Excel: otherwise Excel removes leading zeros.
- An old .xls file or a password-protected workbook cannot be read: save it as .xlsx (without a password) or as CSV.
