The three basic roles
- Cashier: sells, takes payment, opens and closes their till, receives stock, makes stock adjustments and counts (serial numbers included), applies a customer's prices, takes payment with loyalty points, prepares returns (approved by a manager). No discounts, price changes, cash movements or settings.
- Manager: everything except what is reserved for the owner. Two-step verification is required.
- Owner: everything, always — including appointing another owner, data retention periods, adding a shop or a till, per-shop prices and the online dashboard. The shop always keeps at least one active owner: the owner can never lose access.
Custom roles
A bigger shop sometimes wants a cashier who does returns but not discounts, or a head cashier who can take cash out without touching the catalogue. The owner creates these roles on the online dashboard › Team › Till roles: a name, then the permissions to tick, grouped by area (selling, returns, till, catalogue, stock, customers, reports, settings…). A custom role has exactly the permissions ticked. A new role starts from the cashier's permissions (receive stock, adjustments and stock counts, count serial numbers, apply a customer's prices, take payment with points): the owner adds some, or removes some for a role narrower than a cashier — for example a salesperson who does not receive stock. Selling and opening or closing their till are allowed to everyone. Permissions reserved for the owner cannot be ticked.
Without a permission, the till hides the button and refuses the action even if it is requested another way (“Your role does not allow this action”).
A role is given to a member in Team › Access › Role (under Custom roles), on the till or on the dashboard. It goes to a cashier-level account; managers and the owner keep their own permissions. The Custom roles card in Team shows what each role allows.
- A role with at least one permission more than a cashier requires two-step verification at sign-in, like a manager.
- An approval (return, exchange, cancelling a tip, unverified IMEI, points payment above the threshold) can only be given by someone who has that permission: the manager list shows only those people.
- A member with the Add and manage the team permission can only give — or create with Add a member — a cashier account or a role whose permissions they all have themselves, and cannot touch managers or the owner. So they need the cashier's permissions to create a cashier.
- Only the owner creates or appoints another owner (the “Appoint or remove an owner” permission): a manager adds cashiers and managers, never an owner.
Without internet, and when a role changes
Roles reach each till with the team sync. Without internet, the till applies the last version it received. When the owner changes a role's permissions, the people who have it must sign in again: the till then applies the new permissions.
Role deleted: its members become cashiers again on every till at the next sync; give them another role if needed. If a till receives the deletion before a member's record, the Team list shows them for a while as “Cashier (role “…” deleted)”. A role given on a till that has not received it yet also counts as cashier until the next sync.
Every change — role created, permissions changed, role given or removed, role deleted — is recorded in the till's audit log and in the dashboard's log, with the role's name at that moment.
